Where is Entebbe airport? It sits on the shore of Lake Victoria in Entebbe, about 40 km by road from Kampala. Road time to Kampala depends on traffic, so plan transfers with a buffer.

EBB arrival followed by an Entebbe or Kampala stay
Name the first overnight destination before arranging airport reception. A stay in Entebbe and a visit to Kampala should not share an unspecified “city transfer” booking. Give the provider the accommodation address, guest count and receiving contact. Uganda Civil Aviation Authority notes road access between the airport and Kampala and warns of traffic exposure; use the local provider’s date-specific estimate rather than promising a fixed journey duration.
Separate the domestic onward sector from international arrival
An international flight into EBB and a domestic departure are not automatically one through booking. Obtain the onward operator’s reporting location and acceptance deadline. Ask who handles the guests between the arrival process and the domestic reporting point, and whether a landside vehicle movement is required. Where the domestic aircraft departs elsewhere, show the separate airport explicitly so the itinerary does not suggest an in-terminal transfer.
Delayed baggage before guests leave for western Uganda
Agree a missing-baggage contact before passengers continue away from Entebbe. UCAA directs passengers with misconnected or lost baggage to their arriving airline or handling company, with tracing facilities at arrivals. Retain the airline’s case reference, passenger telephone number and next reachable delivery address. Do not promise that recovered bags will join a remote itinerary automatically; the onward delivery arrangement should be confirmed with the responsible airline and receiving party.
Reception access is distinct from a passenger booking
A receiving representative’s access to restricted airport areas cannot be inferred from a hotel or charter reservation. UCAA states that restricted-area access requires advance aviation-security clearance. If the itinerary requests an escort beyond a public meeting point, have the authorised airport parties confirm the access scope. Otherwise distribute a practical landside meeting instruction, including the representative’s name and a backup telephone number.
Special reception versus ordinary premium assistance
UCAA describes the government VIP facility and a separate approval process for special cases. Avoid describing every private-jet guest as automatically entitled to government VIP reception. Ask the appointed handler which passenger assistance can actually be arranged and which approving party owns any special request. The passenger brief should state the confirmed service, not a broad label that suggests exemption from normal border or security procedures.

Operational planning for Entebbe private and charter flights
A dependable EBB operation begins with one controlled movement brief containing the registration, aircraft type, operator, purpose, route, UTC schedule and expected ground time. Use the same information for the Uganda permit process, handling request, parking, fuel and passenger arrangements. When any core detail changes, check whether the permit or service confirmations need amendment before the aircraft departs.
UCAA landing and overflight coordination
Permit requirements depend on the flight’s nationality, category, commercial status, route and purpose. A landing approval is not the same as an overflight approval, and neither should be confused with airport parking or handling acceptance. Non-scheduled commercial, cargo, medevac, humanitarian, diplomatic and other special-purpose movements may need additional supporting information. Handling, parking and ramp services
Appoint a handler and obtain confirmation for the aircraft and dates involved. State whether the aircraft remains at EBB, departs empty or returns for collection. Itemise ground power, stairs, potable water, lavatory service, cleaning, catering, mobility assistance and security needs. Parking and services are capacity-dependent and must be accepted for the specific ground time, not assumed from a previous visit.
Fuel coordination at EBB
Send the Jet A-1 request, estimated quantity, fuel release and billing information early enough for supplier checks. Ensure the registration and operator name match the movement documents. Reconfirm after a schedule or tail change and agree the uplift sequence with the handler. Published availability is not a guarantee of stock, credit acceptance or delivery at a particular time.
Crew accommodation and transport
Keep the crew plan separate from the passenger itinerary. Confirm hotel, transport, reporting time, rest considerations and a backup contact. If the aircraft repositions, the crew and passenger return arrangements may follow different schedules and should not share an ambiguous vehicle order.
